JOB TITLE: Business Manager

Utopian Academy for the Arts is an independent public charter school serving middle school children and families throughout Clayton County, GA. Utopian Academy will enroll 300 students in the 2014-15 school year. Utopian Academy was approved by the State Charter Schools Commission of Georgia and will operate as a Local Education Agency (LEA). The rationale for the enrollment plan for Utopian Academy for the Arts is to provide a significant educational benefit of having a gender-based classroom environment, longer school day, longer school year, Saturday school, and classes in the dramatic, media, and culinary arts for students in Clayton County, GA.

About the Business Manager

The Business Manager plays a central role in maintaining the school’s administrative systems and routines. Reporting to the Executive Director, the Business Manager is part of the administrative team responsibility for the successful and efficient running of the school. S/he will work closely with the Executive Director to make sure that the general school operations functions including finance, administration, compliance, human resources and facilities support student achievement and financial success.

The Business Manager is responsible for maintaining all school records, ensuring that all necessary instructional and administrative purchases are made in a timely fashion, reviewing invoices, receiving all goods, preparing check requests and performing basic accounts payable and receivable functions.


  • Responsible for the school’s budget, distribution of funds and reporting structure to the District, Board of Directors, Executive Director Academic Director.

  • Oversee the Business Office.

  • Performs basic Accounts Payable/ Receivable functions in the routine course of daily operations.

  • Maintains accounting ledgers for general ledgers for school budgets, monitors budget balances and reports to staff with updates and researches charges as needed.

  • Shares responsibility for development and implementation of the school’s strategic and financial plan.

  • Develops financial policy recommendations for the Board’s consideration and action with Governance issues.

  • Files required reports with local, state and federal education agencies, Board of Directors.

  • Supervise staff that supports the school financial systems such as purchase orders, payroll records; grant reports, and financial forms and reports.

  • Maintain and evaluate school maintenance and vendor supplier contract as well as all other contracts.

  • Develop an Asset Management Plan for all school property of value.

  • Report the financials and all important school finance data to the Executive Director and Board on a consistent basis or on request.

  • Manage the National School Breakfast and Lunch Program.

  • Distributes and monitors building keys, maintains safety OSHA compliance, writes work orders for vendors and oversees progress as Facilities Management.

  • Oversees any district related Transportation needs for students.

  • Has the proven ability to multi task and meet tight deadlines.


  • BA/BS Degree in Accounting or related field or graduate degree. Master’s Degree in Business with Finance or an Accounting background preferred.

  • Experience with finances in a school or education setting preferred;

  • Demonstrated organizational skills and proven ability to multi task;

  • Experience with Facilities Management;

  • Previous experience with multi million dollar budgets required;

  • Demonstrated ability in data management and presentation;

  • Prior experience requiring fiscal responsibility;

  • Agreement with and commitment to the academic goals and philosophy of Utopian Academy for the Arts;

  • Demonstrated ability to work effectively as a team of one;

  • Superior written and oral communications skills;

  • Demonstrated communication skills- Model correct use of language, oral and written;

  • Regular budget meetings and accurate communication when needed with school leadership, governing board and state officials;

  • Experience working in an urban setting and Charter school experience, highly desirable.
